April System Managers Meeting Notes with Melissa Hayes:
-A Conferences page will be put on Intranet for those attending Conferences to post about what
was covered and their experiences.
-Steven in charge of surplus IT material. Computers and computer related material that no longer
work will eventually be picked up, He will do an annual inventory of our IT equipment.
-Coin Copier's contract expired, however, they will continue until new a new vendor is selected.
Additions will include wireless capabilities and credit/debit options among others.
-New computer registration system is coming. Becky suggested always give new registrants their pin
number as this may become their way of registering for computers. Sue is not sure how this will
impact Special Collections since we do not have the reservation Kios as do Neighborhood Libraries.
-Summer Reading Program: Information can be found on Youth Services Blog. New format is
more family oriented. Starts June 1st.
Sue spoke on Michelle Gorman's new Group Role Playing Assignments at Managers Meetings.
-Groups assigned task of presenting skits dealing with issues faced by Manages and staff.
1) Crisis Management-how to handle a crisis. Depends on level of crisis.
Major Crisis-requires immediate action; major injury, disturbance or building malfunction.
person in charge immediately notified. No AED in building always call 911 if major crisis.
Minor Crisis-may not require immediate action. Advising person responsible for handling
that job duty may be sufficient.
2) Presenting Yourself at the Reference Desk-Do's and Dont's
Non work related things should not be done at desk. Only on break and lunch.
No cell phones on floor or desk during open hours unless approved by Sue or Mellisa.
Cell phones ok on floor when closed if listening to music while shelving and ok to listen to music
while working in workroom or staff lounge.
Ok to bring work project to desk, however, always acknowledge customers.
-Michelle Gorman will be visiting Neighborhood Libraries to review issues that have been brought
to her attention. These are unofficial visits and may not be announced.
-Internal Job Applications not being pulled because they are not considered complete. Always
extrapolate on answers to questions with more than just yes when appropriate. The more
information provided the better your chances of being called.
-Post Program Facilities Assessment link will be added to the Blog for any issues involving
programs, more to come.
-A new service is being added to assist with translation when interacting with non-English speakers,
there will be a phone number to call or a paper form to complete. The response is not immediate.
However, currently there is no funding for the program, Stay tuned and hopefully we'll have a better
understanding of how it works.

Passed out a new form for those wishing to be added to Clayton researchers list-will be on
V-Drive.
-HEAR Plans are currently being done by your lead supervisor:
This a working document that should be scheduled to each individual.
Will develop a collection development plan for each person.
Non-supervisor HEAR plans sue by June 30.
If a customer brings us an index we own to a book we don't own try and locate the book in world.cat
or one of the digitized book sites, Familysearch.org, Digital Public Library of America, may be a digitized government document, worldcat.com digital link or Hathi Trust digital library. May be an opportunity to add to our collection.
